About the job
About this role:
We’re looking for a highly organized Global Logistics Coordinator to ensure our drones, technical equipment, and show supplies arrive where they need to be, when they need to be there.
You’ll coordinate domestic and international shipments, prepare shipping and customs documentation, and support routine purchasing for our show teams and international hubs. Working closely with production and warehouse managers, transportation brokers, freight forwarders, and customs brokers, you’ll track equipment movements from pickup through delivery and return. Accurate paperwork, dependable follow-through, and clear communication are central to success in this role.
As a Global Logistic Coordinator, you’ll be responsible for:
- Coordinate domestic and international freight and parcel shipments between warehouses, show sites, vendors, repair facilities, and international hubs; confirm deadlines, equipment readiness, delivery contacts, and return arrangements.
- Request and compare freight quotes, book shipments with approved providers within established authorization limits, obtain approval before booking international freight, and independently select routine parcel services.
- Monitor shipments through pickup, transit, customs clearance, and delivery; provide clear updates, resolve routine issues, and promptly escalate risks to show schedules.
- Prepare commercial and pro forma invoices, packing lists, shipping labels, ATA Carnet general lists and applications, and lithium battery dangerous goods documentation using approved templates, guidance, and carrier requirements.
- Maintain accurate equipment quantities, serial numbers, dimensions, weights, and shipment records in coordination with warehouse teams and the inventory platform; organize audit-ready files and track carnet and temporary import re-export deadlines.
- Source stock equipment and supplies, place approved purchases within spending limits, and track orders, receipts, returns, and replacements; review freight invoices against quotes and coordinate resolution of discrepancies.
- Use spreadsheets, shared files, carrier portals, Gmail, Slack, and production and inventory platforms to coordinate work and improve shipping templates and procedures.
- Occasionally pack, ship, receive, or drop off Boulder office parcels and assist with warehouse loading or receiving during busy periods or staffing gaps, representing less than 10% of the role.
You’ll need to have:
- Background in domestic and international logistics, including shipment coordination and preparation of shipping and customs documentation.
- Strong administrative skills, with excellent organization, attention to detail, and the ability to manage multiple shipments and deadlines.
- Ability to maintain accurate packing lists, equipment movement records, and supporting documentation.
- Clear written and verbal communication skills, with dependable follow-through across internal teams and external providers.
- Sound judgment to resolve routine issues independently, work within approval limits, and escalate risks promptly.
- Proficiency with spreadsheets, shared document folders, online ordering systems, shipping portals, and AI tools, with the ability to learn new production and inventory software.
- Availability to work primarily from the Boulder office during Mountain Time business hours, with occasional early morning or evening calls to coordinate across global regions.
It’s a plus if you have:
- Familiarity with live event logistics, drone equipment, or movement of technical production equipment.
- Working knowledge of ATA Carnets and temporary import and re-export processes.
- Hands-on knowledge of lithium battery dangerous goods shipping documentation and carrier requirements.
- An interest in drones, technology, and live entertainment.
- A positive, practical approach, a willingness to help teammates, and adaptability as operational priorities change.
